Meeting bot

Last updated March 2026

The Roadmappy meeting bot joins your calls as a participant, records the conversation, and sends the recording for transcription and AI analysis — without you having to do anything after the initial setup.

Supported platforms

  • Google Meet
  • Zoom
  • Microsoft Teams

How it works

  1. You schedule or start a meeting on a supported platform
  2. Roadmappy detects the meeting (via your connected integration) and sends the bot to join
  3. The bot appears in the meeting as Roadmappy Notetaker
  4. When the meeting ends, the recording is uploaded and processed automatically
  5. The transcript and AI insights appear in your Meetings dashboard within a few minutes

Add the bot to a specific meeting

If you want the bot to join a one-off meeting without a pre-connected integration:
  1. Go to the home screen and click Add bot to meeting
  2. Paste the meeting URL (Google Meet, Zoom, or Teams link)
  3. Click Add bot
The bot joins within a few seconds.
Using a Zoom link?
If you paste a Zoom meeting URL, you may be prompted to authenticate with Zoom before the bot can join. Complete the OAuth flow and then try adding the bot again.

Transcription

The bot produces a full speaker-attributed transcript. Each line shows the speaker name, timestamp, and spoken text. Transcripts are available on the meeting detail page once processing is complete.
Participant consent
Roadmappy Notetaker is visible to all meeting participants. Make sure you inform participants that the call is being recorded, in line with your local laws.

Troubleshooting

The bot didn't join

  • Make sure you are the host or co-host of the meeting
  • Zoom requires cloud recording to be enabled on your account
  • Schedule meetings at least 5 minutes in advance — the bot joins 2 minutes before the start time
