Upload recordings

If you have a recording that wasn't captured by the Roadmappy bot, you can upload it directly. Roadmappy transcribes it and runs the same AI analysis as it does for bot-captured meetings.

Supported file types

Audio: MP3, WAV, AAC, FLAC, OGG, M4A, AIFF, WMA, Opus, AMR, WebM
Video: MP4, MOV, AVI, WMV, FLV, WebM, OGG
Maximum file size: 5 GB

How to upload

  1. Go to Meetings and click Upload recording
  2. Fill in the meeting details:
    • Title (required)
    • Recording date — when the meeting took place
    • Company name — the customer or account discussed
  3. Select your file and click Upload
  4. Wait for processing to complete — this usually takes a few minutes depending on file length

What happens after upload

Once your file is uploaded, Roadmappy:
  1. Transcribes the audio using speaker diarisation — each speaker's lines are labelled separately
  2. Detects the language automatically
  3. Translates the transcript if it's in a language different from your workspace setting
  4. Runs AI analysis to produce:
    • A concise summary
    • Sentiment score and label (positive / neutral / negative)
    • Category tags
    • A usefulness score
  5. Adds the meeting to your insights corpus so it's included in reports and trend analysis
You can track processing progress on the meeting detail page. Most meetings are fully processed within 5 minutes.

Large files

Files over 50 MB are uploaded using multipart upload, which is handled automatically by the browser. For very large files, keep the browser tab open until the upload bar reaches 100%.
Tip
For the most accurate transcription, use recordings where each speaker has a distinct audio track or uses a headset. Noisy or overlapping audio reduces transcript quality.

Edit meeting details after upload

You can update the title, company name, recording date, and description at any time from the meeting detail page. AI analysis is not re-run after edits.

Troubleshooting

Upload failed

  • Check that your file format is in the supported list above
  • Make sure the file is under 5 GB
  • Try a different browser if the upload stalls

Transcript is incomplete or inaccurate

Transcription quality depends on audio clarity. Ensure participants use a headset or are in a quiet environment. If the quality is consistently poor, share the meeting ID when you reach out so we can investigate.
